Per-seat vs flat team pricing
A guide for small teams choosing a work tool · October 14, 2026
Most team tools price in one of two ways. Per-seat pricing charges for each person in the workspace. Flat team pricing charges one price for the whole team, up to a size limit. Neither is right for everyone. Here's how to compare them for a team of 3 to 15.
How per-seat pricing works
You pay a set amount for each user, every month. The bill grows each time you add someone, including people who check in now and then, such as a part-time contractor or a manager who approves time off. Some per-seat plans also set a minimum number of seats.
How flat team pricing works
You pay one price for the team, whatever its size up to the plan limit. Adding a fifth or sixth person doesn't change the bill. The trade-off is the limit itself: once you pass it, you move up to the next plan.
Worked examples
The per-seat prices below are hypothetical, chosen to make the maths easy. They aren't any real product's prices. Always check current pricing before you decide.
| Team size | Hypothetical tool at $10 per user/mo | Hypothetical tool at $15 per user/mo | Execuday (flat, monthly) |
|---|---|---|---|
| 3 people | $30/mo | $45/mo | $0 on Free (3 members, 3 projects) |
| 5 people | $50/mo | $75/mo | $29/mo (Small Team, up to 7) |
| 7 people | $70/mo | $105/mo | $29/mo (Small Team, up to 7) |
| 10 people | $100/mo | $150/mo | $59/mo (Team+, up to 15) |
| 15 people | $150/mo | $225/mo | $59/mo (Team+, up to 15) |
On annual billing, Execuday's Small Team is billed $288 a year ($24/mo) and Team+ is billed $588 a year ($49/mo).
A simple way to compare: multiply the per-seat price by the number of people who will actually need a login in the next 12 months, then compare that with the flat price for the plan that fits your team.
When per-seat can make sense
- You're a team of one or two, and the per-seat price is low.
- You expect to grow well past 15 people soon.
- You need features a small-team tool doesn't offer, such as detailed time tracking, invoicing, or Gantt charts.
When flat pricing can make sense
- Your team is between about 4 and 15 people.
- You want everyone in the tool, including part-timers, without weighing the cost of each login.
- You want a predictable bill that doesn't change when someone joins or leaves.
What to look for in a small-team tool
Who's working on what
Every task should have a clear owner and a due date, visible on a board, a list, or a calendar.
Who's around
Time off belongs on the same calendar as the work. If vacations live in a separate spreadsheet or chat thread, it's easy to set a due date for the day someone is out.
A simple time-off process
Look for in-app requests by type (vacation, sick, remote) and, if you need them, approvals, so nothing gets lost in a message thread.
Conversation next to the work
Comments and @mentions on tasks keep decisions where people will find them later.
Setup that fits a small team
A tool built for 3 to 15 people shouldn't need an admin or a long setup project. Check how long it takes to invite the team and create a project.
Honest limits
Check what isn't included. For example, Execuday doesn't have chat integrations, Gantt charts, or native phone apps yet. It runs in your web browser.
Your data and security
Read the privacy and security pages, and check how billing, cancellation, and refunds work before you pay.
How Execuday fits
Execuday puts tasks, projects, a shared team calendar, and time off in one browser-based app, for one flat price per team. Free covers 3 members and 3 projects. Small Team is $29/mo for up to 7 people, and Team+ is $59/mo for up to 15. See pricing and the FAQ, or visit Support with questions.
